Typically begins 60 days out, or earlier for multi-day and multi-venue programs.

  • Full review of signed vendor contracts, inclusions, and overtime terms
  • Site walkthrough with load-in, power, rigging, and staging assessment
  • Production schedule and minute-by-minute run-of-show
  • Vendor call sheets with arrival windows, contacts, and staging areas
  • Vendor confirmations and final counts in the two weeks prior
  • Rehearsal, tech check, or ceremony walkthrough coordination
  • On-site management of setup, program, service transitions, and teardown
  • Point of contact for venue staff, catering captain, and AV lead
  • Contingency plans for weather, delayed deliveries, and vendor no-shows
  • Load-out supervision, rental returns, and post-event reconciliation

One schedule, everyone

Every vendor works from the same run-of-show. When the caterer, band, and photographer disagree, they aren't guessing — they check the sheet.

Late delivery, blown circuit, missing linens: our team solves it in the background. You hear about it afterward, if at all.

Clean exit

Load-out is planned like load-in. Rentals counted, gifts and personal items collected, venue returned within the contracted window.
